How to Use the New Online Calendar Tool
A guide for employees to enter their time off requests
The company has introduced a new online calendar tool that allows you to enter your future time off requests and
get them approved by your timesheet reviewer. This tool will help you and the team plan your work schedule, track
your utilization, and sync your out of office events with your Outlook calendar. Here is how to use the tool to enter
your time off requests for vacation, training, conferences, sick time, or any other reason.
Step 1: Go to the Calendar tab
Click on "My Employee Dashboards" in ISLDB and click on the "Calendar" tab. You will see a monthly view of your
calendar, showing your current and pending activities, as well as your colleagues' availability.
Step 2: Create a New Activity
Click on the new activity button on the top right corner of the calendar. A pop-up window will appear, asking you to
select a resource for the activity. Choose yourself as the resource.
Step 3: Choose the out of office code
You will see a drop-down menu with different out of office codes that match your reason for taking time off. For
example, if you are taking a vacation, choose the "Vacation" code. If you are attending a conference, choose the
"Conference" code. If you need to use sick time, choose the "Sick Leave" code. And so on. Select the appropriate
code for your time off request and click on the next button.
Step 4: Enter the details of your time off request
Further down, you will see a form where you can enter the details of your time off request. You need to enter the
following mandatory information:
• The start and end dates for your time off
• The number of hours per day that you will be out of office
• The date flexibility of your time off request, such as whether you can change the dates or not
• The confirmation status of your time off request, such as whether you have booked your travel or not
You can also enter some optional information, such as:
• A description of your time off request and your availability for urgent requests
• The location where you will be during your time off
Once you have entered all the information, click on the save and close button. Your time off request will be added
to the calendar with a color code indicating the pending status and utilization of your time.
Step 5: Wait for approval (or rejection)
Your time off request will be sent to your timesheet reviewer for approval or rejection. You will receive an email
notification once they review your request. You can also check the status of your request on the calendar by
hovering over the activity.
If your request is approved, an out of office event will be automatically added to your Outlook calendar. You will
also see a green check mark on the activity on the online calendar. If your request is rejected or cancelled, the out
of office event will be removed from your Outlook calendar. You will also see a red cross mark on the activity on the
online calendar.
You can edit or delete your time off request at any time before it is approved or rejected by clicking on the activity
on the online calendar and choosing the edit or delete option. However, once your request is approved or rejected,
you cannot change it online. You will need to contact your timesheet reviewer directly to make any changes
